iSAMS launches new functionality to streamline attendance tracking for schools

A new configurable email reminder system helps schools maintain accurate student attendance records with minimal administrative effort.

iSAMS has announced the release of its ‘Missed Registration’ functionality within the Registration Manager module, a comprehensive feature designed to support Independent and International K-12 schools in maintaining efficient and accurate student attendance processes.

The new feature introduces a suite of fully configurable email reminders that work together to remind teachers and keep administrators informed throughout the registration process. Schools can now implement automated oversight without adding to staff workload, addressing a common challenge in busy school environments where registration gaps can occur due to scheduling pressures or unexpected absences.

Configurable reminder system

The ‘Missed Registration’ functionality includes three distinct email types, each designed to address different stages of the registration process:

The reminder email is sent after registration start time to teachers who have not yet begun their attendance register, providing an initial prompt to complete this essential task. The follow-up email targets teachers with unregistered students and can be configured to send either before or after the registration session ends, offering flexibility based on each school’s operational preferences. The daily report email provides selected administrative users with comprehensive oversight, identifying which registers remain incomplete within a configurable time period and which have been completed since the previous report.

All three email types are optional and can be tailored to meet individual school requirements, ensuring institutions maintain complete control over their reminder protocols.

Supporting educational excellence

For Independent and International K-12 schools, accurate attendance tracking serves multiple critical functions beyond regulatory compliance. Student registration data informs safeguarding procedures, supports pastoral care initiatives, identifies patterns that may indicate student wellbeing concerns, and provides essential information for parents and guardians who expect transparent communication about their children’s school attendance.

The flexibility of the new system proves particularly valuable for international schools operating across different time zones or managing complex schedules with varied session times. Independent schools, which often emphasise personalised attention and comprehensive student support, benefit from the automated oversight that allows staff to focus on teaching and student engagement rather than administrative follow-up.

Intelligent alert routing

A key feature of the system ensures that alerts are sent to cover teachers rather than the teacher being covered, directing reminders to the appropriate person responsible for completing the register. This intelligent routing prevents confusion and ensures accountability remains clear, even when staffing arrangements change.

Schools interested in implementing the ‘Missed Registration’ functionality can configure the system according to their specific operational needs and compliance requirements.

Enhanced data flow to iSAMS Central

Accurate and timely registration data captured through the ‘Missed Registration’ functionality is fed directly into iSAMS Central, providing Senior Leadership Teams with comprehensive attendance insights for informed strategic decision-making. This integration ensures that school leaders have access to real-time attendance trends, patterns of concern, and whole-school analytics without requiring manual data compilation.

Leadership teams can utilise iSAMS Central dashboards to monitor attendance metrics across year groups, identify early intervention opportunities, track the effectiveness of pastoral support initiatives, and generate reports for governors and regulatory bodies. The seamless data flow from classroom registration to executive reporting means that decisions are based on complete, accurate information rather than incomplete datasets affected by registration gaps.
